Your Trade Show Cost Plan Is Taking Shape
Here is what your answers already show. It is an early planning estimate, not a quote, and four material costs are still open, so treat the total as a floor rather than a ceiling.
Preliminary planning output only. Public price ranges, final scope and delivery feasibility require Alpha Imprint review.
Section 06 · What the same scope costs elsewhere
Your Scope, Priced Four Ways
These four totals cover only what a display or promotional vendor actually quotes. Venue charges stay in your plan and out of this comparison, because changing supplier does not change them.
Nothing has been quantified yet, so there is nothing honest to compare. Tick what your setup includes in Step 2 and set the quantities in Step 3.
Your plan is saved. The six-digit code we emailed unlocks the four totals, the calculation basis behind each one and the printable report.

Planning estimate, not a final quote. Totals cover quotable goods only and exclude sales tax, venue charges, drayage and show labour. The figures on the named competitor cards are Alpha's own estimates of what that kind of Houston vendor charges for this scope. None of those companies has quoted this scope, and none of the figures is a quotation from them.

Where Your Plan Has Room to Move
Each of these comes from a number you entered, and shows the arithmetic. Some of them lower what we would invoice, which is the point.
These appear once there are quantities, dates and costs to work from. Generic advice would fill the space and tell you nothing.
Figures follow the same planning assumptions as your plan and are not quotes. Price breaks and setup charges are confirmed on a real quote.
Booth direction · From plan to quotable scope
Turn the Estimate Into a Booth Plan You Can Actually Quote
Three directions cover most Gulf Coast B2B exhibitors. Each one names what is included and excluded, so the number in your plan can become a credible quote.
10 × 10 · starter to premium
A focused single-space presence for regional shows and first-time exhibitors. Portable, reusable and packed in cases.
10 × 20 · growth to premium
Room for a demo, a meeting corner and a counter, the working layout most energy and industrial exhibitors need.
20 × 20+ · or reuse and refresh
Island spaces and inherited booths need a person to inspect the scope before any number is credible.
Methodology · Inspectable by design
A Planning Range You Can Inspect, Not a Black-Box Number
A budget you cannot explain is a budget you cannot defend. The calculator never hides where a number came from, and never fills a gap quietly.
Every number keeps its label.
A figure entered from a quote, invoice or exhibitor kit.
A range from approved Alpha product data.
An editable placeholder used only when you ask us to estimate.
No number at all, counted and named, never averaged away.
Deadlines, venue rules, tax or availability need a person.
Planning outputs are scenarios, not forecasts or final quotes. Approved pricing and delivery feasibility require human confirmation.

Trade Show Cost Calculator FAQs
Clear answers about cost coverage, missing inputs, reusable assets, break-even, ROI, deadlines and privacy. Unknown costs stay unknown until an official source or a person confirms them.
What costs does this trade show cost calculator include?
It covers the full event picture: booth space, display structure and graphics, freight and drayage, installation and dismantle labor, show services such as electricity and internet, travel and staff time, apparel and giveaways, lead capture and contingency. The display quote is only one line inside that.
What if I do not know a cost yet?
Answer "I don’t know yet" and the line stays visibly open. The calculator counts it as missing rather than guessing, and your report lists it as an item to confirm with the venue or organizer.
Is the result a quote?
No. It is a planning range built from your inputs plus Alpha-reviewed ranges. A quote is issued by a person after scope, artwork, deadline and delivery feasibility are confirmed.
How accurate is the estimate?
Accuracy follows your inputs. Confirmed numbers from an exhibitor kit or invoice make it tighter; assumptions and missing lines widen it. The confidence bar always shows which is which.
Why does the booth show a range and not one price?
Structure, graphics, accessories, production timing and shipping distance all move the number. A single price before those are known would be false precision.
How does reuse change the cost?
Reusable investment is divided across the number of shows you actually plan, while venue, freight and labor repeat at each show. That is why cost per show falls but never reaches zero.
How is break-even calculated?
Total investment divided by average gross profit per customer, rounded up. Gross profit rather than revenue, because that is the number a finance approver will ask for.
Is the ROI figure a forecast?
No. It is a scenario built from conversion rates you entered. Change the inputs and it changes. Treat it as a planning test, not a promise.
What is drayage and why is it missing so often?
Drayage is the material handling charge for moving your freight between the dock and your booth space. It is priced by the venue contractor, published in the exhibitor kit, and almost never included in a display quote.
Do I need artwork ready to use this?
No. But artwork readiness affects deadlines and rush charges, so the calculator asks. If artwork is not ready, the report flags the production timeline as a risk rather than assuming it is fine.
What deadlines should I protect?
Artwork approval, production time, freight cut-off and the advance warehouse date. Missing any one of them converts a planned cost into a rush cost.
Do you sell my information?
No. Your details are used to generate and deliver the report you requested and to respond to your project. Marketing consent is separate and optional.
Do I have to talk to anyone?
No. The full report is delivered without a call. A human expert review is a separate, optional step you request yourself.
Can Alpha handle the whole project?
Displays, graphics, apparel and print can come from one source, which removes brand drift and several handoffs. Whether that fits your scope is confirmed in review, not assumed here.
Answers stay concise here. Detailed cost education remains in the supporting guides to protect search intent and avoid duplicate content.
